Remote Attendance & Voting at the Annual Meeting

This year’s WCYC Annual Meeting introduces us to a new chapter in our organization’s history. This year WCYC members will be able to attend the meeting remotely (by logging into an online teleconferencing room) AND we will permit confirmed WCYC members to cast votes on the various motions and on the elections to the Board of Directors.
If you would like to take advantage of this opportunity, please, read on.
First, anyone who wishes to attend and vote at this year’s Annual Meeting MUST pre-register with communications@wcyc.org by Tuesday, October 12. Just send an email, identify yourself (and anyone else who will be attending with you on your computer).
Then, a member of the Communications Committee will follow-up to confirm membership status. The WCYC by-laws require that any voting member must be a current member. And, “current member” means you need to either 1) be a lifetime member, or 2) pay the annual membership fee of $35/individual, or $45/couple. During the email confirmation, we can discuss options for ensuring your membership is current.
If membership is confirmed, you will receive an email on the morning of the Annual Meeting with a link to the Zoom room, and contact information in case you need any help connecting.
During the meeting, we will hold a few votes. Some of them will be handled through a simple show of hands. We will also hold elections for new Board members. That process, however, requires anonymous voting. The Annual Meeting Committee has established a process whereby we can conduct an electronic version of the election, allowing you to cast your vote digitally while remaining anonymous. At the appropriate time, during the meeting, you will receive a link to allow you to participate in that election.
